Job Summary

The eDiscovery team coordinates with the Legal team to facilitate the eDiscovery process and provide consultation on eDiscovery technology and best practice. Under limited supervision, uses specialized knowledge and skills obtained through experience and/or formal training in performing eDiscovery, forensics, and other data collection activities to support internal and external data discovery requests and internal investigations. Responsible for providing advanced litigation and regulatory technology support to the firm’s lawyers, paralegals, and support staff, including application setup, document review interface preparation and design; preparation of electronic data exchanges and document productions; data conversion, processing, manipulation, and repair; reorganization and categorization of case project data on the firm's network; data analytics and project workflow; and end user support.

Essential Duties and Responsibilities

  • Identify and collect data using advanced search techniques, preserve data for later use, utilize write blocking software to prevent the destruction of data to ensure the integrity of ESI.

  • Verify data integrity and apply quality control checks when performing data imports and exports, document productions, and database reports or logs.

  • Analyzes document content for information gaps, contradictions, duplication, dependencies, and relationships.

  • Troubleshoot complex database and data problems and work with the internal teams and/or external parties to resolve.

  • Process requests for internal records stored digitally on internal servers.

  • Coordinate and perform a range of operational support activities for a manager or group of managers in an assigned functional area.

  • Assist the case teams as needed with electronic document productions including the preparation of media, printing, and loading and extraction of data to and from file transfer sites.

  • Maintain centralized records of matter-specific project data.

  • Maintain detailed matter notes, documentation and/or updates.

  • Communicate with data custodians and requesters as necessary.

  • Communicate with internal legal teams regarding eDiscovery workflow, problems, and solutions.

  • Collaborate with outside counsel, external vendors, and/or other internal IT groups as required.

  • Adhere to established best practices, identify risk involved with any deviation, and demonstrate an understanding of the need for change.

  • Keep abreast of eDiscovery industry news and application version releases and release notes.

  • Provide one-on-one end user support and litigation technology assistance for both routine and irregular questions. Training end users and assisting with the preparation of training material is expected.

  • Participate in learning and knowledge-sharing activities such as team meetings and training programs.

  • Anticipate, plan, and prioritize work while managing competing demands.

  • Escalate complex or difficult decisions when necessary.

  • Provide cost estimates and advise on maximizing efficiencies and cost reduction.

  • May assist with offsite document and electronically stored information (ESI) collections.

  • Assist with other relevant projects as needed.

Qualifications

Knowledge, Skills, and Abilities

Knowledge of

  • Experience working with advanced eDiscovery tools such as OpenText Axcelerate or Relativity, and data management tools such as ProofPoint, OneDrive, Wolters Kluwer Passport, and other file management tools.

  • Advanced experience creating structured data productions including images, text, native files, and load files.

  • Experience with different sources of data (i.e., emails, chats, internal repositories, Bloomberg, etc.)

  • Advanced experience and understanding of ESI conversion to structured data formats, and ESI processing including, exact deduplication, near deduplication, email threading.

  • Advanced understanding of data analytics and review workflow (predictive coding experience a plus).

  • Experience working with paralegals, attorneys (both in-house and outside counsel), and external vendors to define the scope, schedule, and resources required to successfully complete eDiscovery work.

  • Experience working with enterprise matter management systems (e.g., Wolters Kluwer Passport) a plus (i.e., maintaining notes and documentation related to the matter/project within the system).

Skill in

  • Preparing data for production in collaboration with in-house counsel, outside counsel, and/or external vendors.

  • Gathering, maintaining, and organizing information and a large volume of ESI.

  • Developing and maintaining eDiscovery and forensics processes and procedures.

  • Managing projects independently with minimal supervision.

  • Managing timely completion of multiple requests, adjust and reprioritize according to changing needs.

  • Communicating highly technical subjects and concepts in a format appropriate for non-technical audience.

  • Communicating with data custodians and requesters as necessary.

Ability to

  • Maintain professional discretion and confidentiality.

  • Maintain currency in best practices required of eDiscovery and forensic analysis.

  • Maintain current knowledge of company databases, changes and updates to databases and company data policies.

  • Prioritize and manage expectations and effectively communicate the firm’s guidelines to internal and external counsel.

  • Leverage technology to improve the way the eDiscovery team supports the firm.

  • Manage multiple tasks with changing priorities to meet deadlines in a fast-paced environment with frequent interruptions.

  • Communicate effectively, both orally and in writing.

  • Work independently as well as collaboratively within a team environment.

  • Handle stressful situations and provide a high level of customer service in a calm and professional manner.

  • Establish and maintain effective working relationships at all levels of the firm

Educational/Previous Experience Requirements

Education/Previous Experience

  • Bachelor’s Degree in information management, computer science, or related field.

  • A minimum of four (4) years’ eDiscovery/litigation support experience.

  • Experience with metadata and archiving and retrieval systems and working in an ISO 9000 or COBIT controls environment, ITIL framework, or other governance framework.

  • eDiscovery specialist certification (ACEDS) a plus.

  • An equivalent combination of education, training or experience.
