Job Summary:

Under limited supervision, uses intermediate skills obtained through experience and training to perform detailed transactional tasks in a fast-paced work environment. Established procedures, general guidance and direction are provided to perform a variety of time sensitive/prioritized tasks. Informed judgment is required to adapt current procedures, processes and techniques to the constant changes in regulations imposed by the individual states annually. Resolves most questions and problems independently, and refers new or unusual issues to a higher level or external expert. Job requires creative decision making ability. Frequent contact with internal and external customers is required to obtain, clarify or provide facts and information.

Essential Duties and Responsibilities:

  • Files annual abandoned property reports for all RJF affiliates in all fifty states, each of which have their own set of daunting requirements.

  • Performs due diligence, both with the branches and the clients, to minimize the escheatment of client assets to the states.

  • Reconciles all escheat payable accounts as well as state reports to ensure accurate accounting entries/remittance.

  • Works closely with Securities Operations and other depts. to ensure delivery of escheated securities to the states/their agents and to track down lost or missing clients.

  • Prepares, reviews, processes and maintains abandoned property documents, records and files.

  • Assists in researching all discrepancies and in gathering data for all audit requests, both external and internal.

  • Gathers and compiles data for assigned functions and provides summaries to mgmt. as necessary.

  • Serves as the go-to person for other areas of the firm which have general inquiries about the nature of abandoned property and help them determine if they have qualifying assets.

  • Independently investigates and resolves transactions and account discrepancies whether from current or prior filing years.

  • Coordinates the gathering of escheatable assets from numerous different depts. and remitting same to the states.

  • Cross trains with fellow associates to ensure business continuity of daily/monthly/annual functions.

  • Performs other duties and responsibilities as assigned.

Qualifications

Knowledge, Skills, and Abilities:

Knowledge of:

  • General office practices, procedures, and methods

  • Basic accounting concepts, practices and procedures.

  • General ledger accounting software packages or ability to learn specific tasks.

  • Excellent excel, access and word skills a must.

  • Excellent documentation skills are required in order to meet the demands of auditors, the states, financial advisers, etc.

Skill in:

  • Basic to intermediate Excel knowledge.

  • Accurately entering detailed customer information into reporting systems such as HRS Pro Wagers & also skillfully utilizing tools such as access, Share Point, etc.

  • Researching individual state statutes to ensure we are in compliance with the myriad demands posed by each individual state.

  • Gathering and compiling information – including keeping all procedure memos & IT tables current and accurate (using updates from Keane, SIFMA and/or the states).

  • Ensuring that other areas within the firm that provide items for accounting to escheat are also up to date on the most current requirements.

  • Operating standard office equipment and using required software applications to produce correspondence, electronic communication and maintain spreadsheets and databases.

  • Time management skills and the ability to set accurate priorities must be of the highest order.

Ability to:

  • Identify and resolve potentially complex escheat problems to the satisfaction of

the states, the regulators, the FAs, and, most importantly, our actual retail clients.

  • Communicate effectively, both orally and in writing, with all organizational levels, including numerous different sets of auditors/regulatory bodies, as well as state abandoned property associates & our outside expert Keane on escheat questions.

  • Demonstrate efficiency and flexibility in performance with frequent interruptions and changing priorities.

  • Provide a high level of customer service with limitless patience.

Educational/Previous Experience Requirements:

  • Bachelor’s degree preferred; Associates degree and four (4) or more years of accounting support experience required.

or

  • Any equivalent combination of experience, education, and/or training approved by Human Resources.
